<p>NYCHA, by issuing this RFP, seeks proposals (Proposals) from micrographics firms (the Proposers) to (i) provide NYCHA with the full range of micrographic services, including, but not limited to, prepping, filming, processing, performing quality control inspections, indexing, and shredding of reviewed, filmed paper documents and picking up documents from three NYCHA central office locations in conformance with NYCHA and the American National Standards Institute and Association of Information Image Managements (ANSI/AIIM) microfilm requirements, and (ii) at NYCHAs discretion (a) have the Consultant perform internal quality control inspections of the microfilm performed on NYCHA records not filmed by the Consultant, (b) have independent third party quality control inspections of the microfilm performed on NYCHA records filmed by the Consultant, (c) maintain NYCHAs existing microfilm library and provide NYCHA with electronic access to its records or return the microfilmed rolls to NYCHA, and (d) maintain new microfilmed NYCHA records offsite and provide NYCHA with electronic access to its records or return the microfilmed rolls to NYCHA, as detailed more fully within Section II of this RFP (collectively, the Services).</p><p>The release date of this RFP is April 14, 2023 (the Release Date).</p><p>A non-mandatory Proposers conference (Proposers Conference) will be hosted online via Microsoft Teams on April 26, 2023, at 12:00 P.M. Proposers Conference Meeting Information: 646-838-1534, Conference ID: 501195517#. Although attendance is not mandatory at the Proposers Conference, it is strongly recommended that all interested Proposers attend. To receive an invite to the teleconference please RSVP by email to Nick Yuan at Nick.Yuan@nycha.nyc.gov by 4:00 P.M. on April 25, 2023. NYCHA additionally recommends that Proposers submit via e-mail written questions by no later than 2:00 P.M. on April 25, 2023. Questions submitted in writing must include the firm name and the name, title, address, telephone number and e-mail address of the individual to whom responses to the Proposers questions should be given. Proposers will be permitted to ask additional questions at the Proposers Conference. All questions and answers will be provided to all firms that received a copy of this RFP.</p><p>Proposals must be successfully submitted into iSupplier in final form no later than 2 p.m. on May 12, 2023 (the Proposal Submission Deadline). Proposals which are saved in iSupplier as a draft but not successfully submitted will not be considered. Proposers should refer to Section IV(2) of this RFP for details on Proposal submission requirements.</p><p>The anticipated award date of the Agreement to the Selected Proposer is on or about December 2023.</p><p>All times stated above are Eastern Time (ET).</p><p>Interested firms are invited to obtain a copy of the RFP on NYCHA`s website. Proposer shall electronically upload a single .pdf containing ALL components of the Proposal into iSupplier by 2PM on the Proposal Submission Deadline. NYCHA will NOT accept hardcopy Proposals. The Proposal shall not include embedded documents or proprietary file extensions. NYCHA will not accept Proposals via e-mail, fax, or mail.</p><p>Instructions for registering for iSupplier can be found at http://www1.nyc.gov/site/nycha/business/isupplier-vendor-registration.page. After Proposer registers for iSupplier, it typically takes 24 to 72 hours for Proposers iSupplier profile to be approved.</p><p>It is Proposers sole responsibility to complete iSupplier registration and submit its Proposal before the Proposal Submission Deadline. NYCHA is not responsible for delays caused by technical difficulty or caused by any other occurrence.</p>
